Overview of the role

The Head of Finance will lead on financial matters; liaising with overseas finance teams to ensure the end use of funds and providing assurance on the ‘last mile’. The role will involve managing the charity’s finances and embedding a culture and behaviour of financial efficiency and effective controls.

You will be well-versed in legal guidelines and corporate governance best practices. You will ensure high ethical standards are upheld. The goal is to preserve the charity’s integrity by making sure it stays on a lawful and ethical course

Main Responsibilities

Operational Finance

  • Manage the finance team in the UK and overseas offices to ensure all income transactions and accounts payable are accurately captured, timely and reviewed.
  • Review the accounting system for accuracy and completeness
  • Ensure the monthly month-end schedule is maintained and all reconciliations of bank accounts and other balance sheet accounts takes place for the charity, the group company and overseas offices
  • Liaise with the outsourced payroll provider to ensure salaries, pensions and tax arrangements are dealt with on a timely and accurate basis
  • Ensure that records are maintained of grant commitments including amounts paid to date and allocation to the correct fund
  • Review and ensure that the end use of funds is demonstrated for each project and international transfer
  • Ensure accurate and real time records of maintained of the restricted and unrestricted reserves
  • To ensure monthly reconciliations take place of the income transactions of the Donor Management System (DMS) to the accounting system
  • To ensure the project financial reports are reviewed and analysed for each project
  • Act as the go-to person for operational finance queries
  • Liaise with relevant third parties as appropriate including bankers, auditors, outsourced service providers, consultants and regulators

Reporting

  • Provide accurate and effectively reconciled monthly consolidated management accounts with a commentary on the results highlighting risks and areas for attention, monthly cash-flow, project balances and reserves position to the Senior Management team
  • Demonstrate strong communication skills to discuss the monthly management accounts, cash-flow, project balances and reserves position with the Senior Management team and Board of Trustees
  • Perform all necessary year-end tasks to generate consolidated financial statements that are display transparency and are compliant with the SORP FRS 102
  • Manage the external audit process and being the lead representative in discussions with the auditors. Prepare consolidated year-end files incorporating overseas entities and be the primary point of contact for the group annual audit
  • Provide ad hoc recurring financial reports and analysis as required

Financial Planning

  • Lead on the group annual budgeting cycle and work closely with overseas offices to derive the annual budget and income generation forecasts for Board of Trustees approval
  • Perform quarterly reviews of the budget and income generation forecasts to derive revised forecast and to be able to communicate changes to the Senior Management Team and to the Board of Trustees
  • To be able to scrutinise budgets and forecast with staff, managers and trustees and provide necessary assistance
  • To work with the Senior Management Team to create forward plans, link budgets and forecasts to strategy, analyse historic current and projected charity performance

Statutory Compliance

  • Ensure that financial activities adhere to legislation as well as best practice in the United Kingdom and countries of operation
  • To bring a good working knowledge of charity law, fundraising legislation, GDPR, Global sanctions and other relevant legislation

Systems and Operational efficiency

  • Implement financial processes, controls and systems that are efficient and effective
  • Work closely with the fundraising and programmes teams (including teams in overseas offices) to improve the financial and administrative aspects of fundraising activities
  • To lead on upgrade to the accounting systems to a cloud-based system and ensure financial process are constructed to make the month-end processes efficient and streamlined

Skills and Experience

  • Excellent communication skills and management skills
  • Proven experience as senior finance professional (ACCA, CIMA, ICAEW qualified with experience)
  • Experience of delivering high quality reporting and processes
  • In-depth knowledge of the charity’s standards and regulations
  • Excellent knowledge of reporting procedures and record keeping
  • A business acumen partnered with a dedication to legality
  • Methodical and diligent with outstanding planning abilities
  • An analytical mind able to “see” the complexities of procedures and regulations

    • Attending all statutory and mandatory health and safety training, appropriate to the role
